General Provisions

Soluparts Lda. establishes this Privacy Policy to reaffirm its commitment to protecting candidates’ data and ensuring the fairness and transparency of its personal data processing during the recruitment process for job vacancies at the company.

A candidate’s application to the recruitment process will only be formalized after the complete submission of the Application Form, in which the candidate will provide personal, academic, and professional information, and after the acknowledgment of this Privacy Policy and consent to its terms.

Submitting personal data and other information to apply for a job at Soluparts Lda. does not create any obligation for the company to hire any candidate. The selection process will be conducted according to the criteria established by the company, following its internal recruitment and selection policy.

 

Soluparts Lda. implements security measures to protect candidates’ personal data from unauthorized access.

 

Legal Basis for the Collection and Processing of Personal Data

Soluparts Lda. processes candidates’ personal data to conduct recruitment processes. In specific cases, Soluparts Lda. may process the data based on legitimate interest or explicit consent. When the law requires consent, data will only be processed upon the candidate’s free and unequivocal acceptance. Data processing may also be necessary to comply with legal obligations, facilitate the exercise of legal rights, or execute a contract.

 

Collection and Processing of Personal Data

Soluparts Lda. collects only the data necessary for the purposes described in this Privacy Policy and does not process any data beyond what is outlined here.

Soluparts Lda. collects personal data (name, nationality, race, gender, health conditions, phone number, email address, residential address, academic and professional history) from candidates for the following purposes:

  • Identification: To identify candidates interested in participating in the recruitment process.

  • Evaluation: To assess the candidate’s academic and professional background to determine whether they meet the minimum requirements for the desired position and decide on their approval or rejection in the selection process.

  • Contact: To communicate with the candidate regarding new stages of the recruitment process and to invite them to apply for future job opportunities that may align with their background and interests.

  • Inclusion Initiatives: Soluparts Lda. may collect sensitive personal data, such as race, gender, and disability status. This information is used exclusively to promote diversity and inclusion initiatives and will never be used as a criterion for rejection in the selection process. The sharing of this data is optional and at the candidate’s discretion.

 

By agreeing to the Consent Term, the candidate confirms their authorization for the collection and processing of this data.

 

Sharing of Personal Data

Access to personal data is limited to individuals legitimately involved in the recruitment process, including Human Resources management and hiring managers responsible for new job openings.

Soluparts Lda. may share candidates’ personal data with companies within the same group, as well as authorized partners and suppliers, to fulfill the purposes stated in this Privacy Policy. This may include, but is not limited to, technology service providers and HR consultancies.

 

Additionally, Soluparts Lda. may share candidates’ personal data in response to legal subpoenas or to comply with legal obligations to which the company is subject.

 

Data Storage

Candidate-provided data will be stored in a virtual database hosted in the cloud by Microsoft Corporation. These data are protected against illegal or improper access and processing through appropriate technical and administrative security measures, in compliance with local data protection laws, including but not limited to Brazil’s LGPD and Portugal’s GDPR. Soluparts Lda. adopts appropriate legal measures for international data transfers when necessary.

The database formed from the collected information is owned by and the responsibility of Soluparts Lda. and any potential Data Controller. Access to and sharing of this data, when necessary, will occur within the limits and purposes described in this Policy.

 

Personal Data collected during the recruitment process will be stored for a period of two (2) years, allowing contact with candidates for future job opportunities. Activity records will be stored in a secure and controlled virtual environment. Soluparts Lda. may contact candidates during this period regarding new recruitment processes. Data may be deleted before this period if they are no longer relevant for the purposes for which they were collected. Candidates may also request data deletion at any time unless the company needs to retain them to comply with legal obligations.

 

International Data Transfer

Soluparts Lda. may transfer data internationally, particularly to the United States (due to cloud storage on servers located there), the European Union (as the company is headquartered in Portugal), or any other country where the company conducts recruitment processes.

 

The company adheres to all legal guidelines and adopts best security and privacy practices to ensure the integrity, confidentiality, availability, and protection of personal data in any transfer operation.

 

Data Subject Rights

Candidates may request the following from Soluparts Lda. at any time and free of charge:

  • Access to their personal data

  • Confirmation of data processing

  • Correction, update, or deletion of personal data

  • Guidance on the option to refuse consent for data processing

  • Revocation of consent

The candidate must include in the email subject line the nature of their request, as described in the Data Subject Rights section. The email must also include a copy of an identification document. This measure is necessary to prevent unauthorized individuals from interfering with recruitment processes.

 

Requests made through other channels, including but not limited to telephone, WhatsApp, or social media, will not be considered.
